Users, roles and permissions

Create a role with the right permissions, then add users and give them that role.

Everyone who uses Sawaka has their own user account. What they can see and do is set through a role: a set of permissions shared by many people, such as Kasir (cashier) or Warehouse Admin.

Create a role

  1. In the sidebar, under Users Management, choose Roles & Permissions.
  2. Click Add Role.
  3. Type the role name, for example Kasir, and click Save. The new role is selected straight away.

Set the role’s permissions

The permission table has a row for each kind of record (Product, Sale, Customer, …) and a column for each action: Read, Create, Update, Delete and Export.

  1. Type in the search box to find the rows you want.
  2. Tick the actions this role may do.
  3. Click Save at the bottom.

Good to know:

  • Granting Create, Update or any other action also grants Read on the same record. A locked Read tick means another tick needs it.
  • A tick in a column header selects that action for every row. A tick on a module row (for example ERP) selects every permission in that module.
  • Some records have extra actions, such as Approve or Complete on sales.
  • Nothing is saved until you click Save. Click Reset to undo.

Create a user

  1. Under Users Management in the sidebar, choose User, then click New User.
  2. Fill in Name, Username, Phone Number and Email.
  3. Set a starting Password. Share it with the user and ask them to change it.
  4. Choose the Role. The role’s permissions show below, locked.
  5. If this person needs extra permissions beyond the role, tick them in the permission table. Extras apply to this person only.
  6. Under Location Access, choose the stores or warehouses they may use. Leave it empty to allow every location.
  7. Click Save.
